BizCrush (“BizCrush,” “we,” “us,” or “our”) provides meeting assistance, conversation intelligence, follow-up, and productivity features.

This Privacy Policy explains how we collect, access, use, store, share, and delete personal information when you use the BizCrush application, website, meeting assistant, and related services (collectively, the “Services”).

By using the Services, you acknowledge the practices described in this Privacy Policy. If you connect a third-party service such as Google Calendar, we access information from that service only after you provide authorization.

1. Information We Collect

1.1 Account and Sign-In Information

Depending on how you create or access your BizCrush account, we may collect:

  • Your name;

  • Your email address;

  • Your Google account profile image and basic profile information;

  • Your Apple account name or email address, including an Apple private relay email address;

  • Your phone number and verification information;

  • Account identifiers generated by BizCrush or our authentication providers.

This information is used to authenticate you, maintain your account, display account information, provide customer support, and prevent unauthorized access.

1.2 Google Calendar Information

BizCrush accesses Google Calendar only when you explicitly connect a Google Calendar account and enable a feature that requires Calendar access.

BizCrush requests the following Google OAuth scopes:

  • https://www.googleapis.com/auth/calendar.events.readonly

  • https://www.googleapis.com/auth/userinfo.email

The calendar.events.readonly scope provides read-only access to Calendar events. Depending on the contents of an event, the information accessed may include:

  • Event title;

  • Start and end time;

  • Organizer and attendee information;

  • Event location;

  • Event description;

  • Event status;

  • Video conference or meeting links;

  • Calendar and event identifiers required to synchronize the event.

The userinfo.email scope is used only to identify and display the Google account connected to Calendar. The connected Calendar account may be different from the account used to sign in to BizCrush.

BizCrush does not use these scopes to create, edit, delete, accept, decline, or send Calendar events or invitations.

1.3 Meeting Assistant and Meeting Content

When you enable the meeting assistant, BizCrush may process:

  • Meeting title and scheduled time;

  • Meeting URL or video conference link;

  • Participant and organizer information available through the meeting or Calendar event;

  • Meeting audio;

  • Meeting transcripts;

  • Meeting summaries;

  • User-created or automatically generated notes;

  • Action items and follow-up information;

  • Meeting assistant status and related operational metadata.

Google Calendar data is used to identify eligible meetings, display upcoming meetings, and schedule or operate the meeting assistant. Once a meeting assistant joins a meeting, the processing of meeting audio, transcripts, and summaries is separate from the processing of Google Calendar data.

You are responsible for providing any notice and obtaining any consent required from meeting participants before recording, transcribing, or otherwise processing a meeting.

1.4 Application, Device, and Technical Information

We may automatically collect technical and usage information, including:

  • Device and browser type;

  • Operating system and application version;

  • IP address;

  • Date and time of access;

  • Device identifiers and push notification tokens;

  • Authentication, access, and security logs;

  • Crash reports;

  • Diagnostic and performance information;

  • Feature usage and application activity.

We use this information to operate, secure, troubleshoot, and improve the Services.

1.5 Communications and Support Information

When you contact us, we may collect your email address, the content of your request, attachments, diagnostic information, and any other information you choose to provide.

2. How We Use Information

We use personal information to:

  • Create, authenticate, and maintain your account;

  • Provide and operate BizCrush features;

  • Connect and synchronize an authorized Google Calendar account;

  • Display upcoming meetings;

  • Identify meetings eligible for the meeting assistant;

  • Schedule, launch, and operate the meeting assistant;

  • Generate transcripts, summaries, notes, action items, and follow-up information;

  • Send service notifications and reminders;

  • Respond to support requests;

  • Diagnose errors and improve reliability and performance;

  • Protect users, accounts, and the Services from fraud, abuse, and unauthorized access;

  • Comply with applicable law and enforce our agreements.

We do not use Google Calendar data or other Google user data for unrelated purposes.

3. How We Use Google Calendar Data

When you connect Google Calendar, BizCrush uses authorized Calendar information only to provide user-facing features that you request.

Permitted uses include:

  • Displaying upcoming Calendar events in BizCrush;

  • Identifying events that contain supported meeting links;

  • Allowing you to enable or disable the meeting assistant for a meeting;

  • Scheduling and operating the meeting assistant;

  • Preventing duplicate meeting assistant sessions;

  • Displaying the Google account connected to Calendar;

  • Troubleshooting and securing the Calendar integration.

BizCrush does not use Google Calendar data to:

  • Create, modify, or delete Calendar events;

  • Send or respond to invitations;

  • Serve targeted or personalized advertisements;

  • Sell Google user data;

  • Build advertising profiles;

  • Determine creditworthiness or make lending decisions;

  • Train generalized artificial intelligence or machine-learning models;

  • Provide Calendar data to data brokers;

  • Use Calendar data for purposes unrelated to the user-facing Calendar and meeting assistant features.

BizCrush accesses Calendar data only while the integration is connected and only to the extent necessary to provide the requested features.

4. Google API Services User Data Policy

BizCrush’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

In particular:

  • Google user data is used only to provide or improve user-facing features that are prominent and directly relevant to the requested functionality;

  • We request only the Google OAuth scopes necessary to provide those features;

  • We do not use Google user data for personalized advertising;

  • We do not sell Google user data;

  • We do not use Google user data to develop, improve, or train generalized AI or machine-learning models;

  • We do not allow humans to read Google user data unless the user has provided affirmative consent, doing so is necessary for security or abuse investigation, doing so is required by law, or the data has been aggregated and anonymized for permitted internal operations;

  • We limit transfers of Google user data to service providers that process the data on our behalf and under obligations consistent with this Privacy Policy.

5. How We Share Information

We do not sell or rent personal information.

We may share information only in the following circumstances.

5.1 Service Providers

We may provide information to service providers that perform services on our behalf, including:

  • Cloud hosting and data storage;

  • Authentication and account management;

  • Database infrastructure;

  • Meeting assistant infrastructure;

  • Audio processing, transcription, and summarization infrastructure;

  • Monitoring, logging, analytics, security, and customer support.

These providers may access information only as necessary to perform contracted services for BizCrush and must protect the information in accordance with applicable agreements and law.

5.2 User-Directed Sharing

We may share information when you explicitly request or authorize the sharing, such as when you share a meeting summary or connect an external integration.

5.3 Legal and Safety Requirements

We may disclose information when reasonably necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request;

  • Protect the rights, property, and safety of BizCrush, our users, or others;

  • Detect, prevent, or investigate fraud, security incidents, or abuse;

  • Enforce our agreements and policies.

5.4 Business Transfers

If BizCrush is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to applicable law and appropriate
confidentiality protections.

6. Service Providers and Subprocessors

BizCrush may use service providers such as:

  • Google Cloud Platform for cloud infrastructure, storage, processing, and related services;

  • Firebase for authentication, application infrastructure, notifications, and related services;

  • MongoDB Atlas for managed database infrastructure;

  • Recall.ai for meeting assistant or Calendar integration infrastructure where that integration is enabled.

Where Recall.ai is used, it may process Google Calendar event information, meeting links, connected-account identifiers, and OAuth credentials only as necessary to synchronize eligible meetings and operate the meeting assistant on BizCrush’s behalf.

Our service providers are not permitted to use Google user data for advertising or for purposes unrelated to providing services to BizCrush.

The specific providers used may vary depending on the feature, platform, and location from which the Services are accessed.

7. Data Storage, Retention, and Deletion

We retain information only for as long as reasonably necessary to provide the Services, maintain security and legal records, comply with legal obligations, and resolve disputes.

7.1 Google Calendar Data

While your Google Calendar integration is connected, BizCrush may retain limited Calendar event data and synchronization metadata needed to display events, prevent duplicate processing, and operate the meeting assistant.

When you disconnect Google Calendar or delete your BizCrush account:

  • BizCrush stops requesting new Calendar data;

  • Calendar synchronization and Calendar-dependent meeting assistant scheduling are disabled;

  • Stored Google OAuth access and refresh tokens are revoked or deleted;

  • Calendar data associated with the disconnected account is deleted from active systems within 30 days, unless a longer period is required by law.

You may also revoke BizCrush’s access through your Google Account security settings.

Disconnecting Google Calendar does not automatically delete transcripts, summaries, notes, or other meeting records that were previously created through a meeting assistant session. Those records can be deleted separately through BizCrush or by requesting account deletion.

7.2 OAuth Credentials

OAuth access tokens and refresh tokens are stored using access-controlled and encrypted infrastructure.

We restrict access to OAuth credentials to authorized systems and personnel that require access to operate and secure the integration.

Credentials are revoked or deleted when:

  • You disconnect the applicable integration;

  • You delete your BizCrush account;

  • The credentials expire or are invalidated;

  • Retention is no longer necessary to provide the integration;

  • We identify a security reason requiring revocation.

7.3 Meeting Audio

Meeting audio may be temporarily stored in Google Cloud infrastructure located in the United States, including the us-central1 region, for processing.

Meeting audio is deleted within 48 hours after collection unless a longer retention period is required to complete a user-requested operation, investigate a security incident, or comply with applicable law.

7.4 Transcripts, Summaries, Notes, and Action Items

Meeting transcripts, summaries, notes, action items, and related records may be retained until:

  • You delete the meeting record;

  • You delete your BizCrush account;

  • You request deletion;

  • Retention is no longer necessary to provide the Services;

  • Applicable law requires or permits a different retention period.

7.5 Account Deletion

When you delete your BizCrush account, we delete or de-identify personal information associated with the account within a reasonable period, subject to:

  • Legal retention obligations;

  • Security and fraud-prevention requirements;

  • Pending disputes or investigations;

  • Backup and disaster-recovery cycles;

  • Information that has already been de-identified or aggregated.

7.6 Backups and Logs

Deleted information may remain temporarily in encrypted backups, security logs, or disaster-recovery systems until those systems are overwritten through their normal retention cycles.

Information retained in backups is isolated from ordinary use and is deleted or rendered inaccessible according to our backup retention procedures.

8. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, loss, and destruction.

These safeguards may include:

  • Encryption in transit;

  • Encryption or equivalent protections for stored credentials and sensitive information;

  • Access controls and least-privilege permissions;

  • Authentication and authorization controls;

  • Logging and security monitoring;

  • Credential rotation and revocation procedures;

  • Restricted production-system access;

  • Incident detection and response procedures.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If you believe your BizCrush account or connected integration has been compromised, contact us promptly at support@bizcrush.ai.

9. International Data Transfers

BizCrush and its service providers may process information in countries other than the country in which you reside, including the United States.

These countries may have data protection laws different from those in your jurisdiction. Where required, we use appropriate safeguards for international data transfers.

By using the Services and connecting third-party integrations, you acknowledge that information may be processed in the countries where BizCrush and its service providers operate, subject to applicable law.

10. Your Choices and Rights

Depending on your location, you may have the right to:

  • Access personal information associated with your account;

  • Correct inaccurate personal information;

  • Request deletion of personal information;

  • Withdraw consent;

  • Object to or restrict certain processing;

  • Request a copy of certain information;

  • Disconnect Google Calendar;

  • Revoke Google OAuth access;

  • Delete individual meeting records;

  • Delete your BizCrush account;

  • Submit a complaint to an applicable data protection authority.

You may disconnect Google Calendar through BizCrush where the option is available or revoke access through your Google Account.

Revoking Google access prevents future access but may not automatically delete meeting transcripts, summaries, or notes previously created. You may delete those records separately or request account deletion.

To exercise a privacy right, contact us at support@bizcrush.ai. We may need to verify your identity before completing the request.

11. Access and Deletion Requests

You may request access to or deletion of your personal information by:

  • Using the account or meeting deletion features available in BizCrush;

  • Disconnecting Google Calendar through BizCrush;

  • Revoking BizCrush access through your Google Account;

  • Contacting support@bizcrush.ai.

Please include the email address associated with your BizCrush account and enough information for us to identify the applicable account or meeting record.

We will respond within the period required by applicable law. We may retain limited information where necessary to comply with legal obligations, prevent fraud, protect security, or document completion of the request.


12. Children’s Privacy

BizCrush is not directed to children under 13 years of age, or the higher minimum age required in the applicable jurisdiction.

We do not knowingly collect personal information from children without legally valid parental or guardian consent.

If you believe that a child has provided personal information to BizCrush in violation of this section, contact us at support@bizcrush.ai, and we will take appropriate action.


13. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to the Services, integrations, legal requirements, or data-processing practices.

When we make material changes, we will update the “Last Updated” date and provide additional notice where required by law, such as through the application, website, or email.

Your continued use of the Services after an updated Privacy Policy becomes effective is subject to the updated policy, to the extent permitted by law.
